Executive Assistant to Managing Director Fuji Xerox - North Ryde - Sydney



Job Description

An exciting opportunity exists for an outstanding Executive Assistant to provide high level, proactive confidential support to the Managing Director.    

This role is a great opportunity for someone looking to invest in their career and who ideally has at least 4-6 years solid EA experience, supporting senior level management.

Responsibilities include but not limited to:
  • Managing and coordinating the MD’s busy, extensive & ever changing diary
  • Thorough & prompt monitoring of the MD’s  emails to ensure he is kept abreast of what might require immediate attention & actioning items where you are able
  • Ensuring the confidentiality of sensitive documentation and conversations
  • Coordinating high level conferences, dinners & lunches
  • Preparation of PowerPoint & Excel presentations and meeting facilitation including catering, facilities coordination, agenda preparation and being available on the day for any assistance
  • Organisation of travel arrangements both domestic and international
  • Screening & redirection of internal & external calls - taking messages and following up where appropriate
  • Reconciliation of MD’s personal expenses
  • Minute taking, finalising and following up of action items from meetings
  • Liaising and working effectively with other EGM PA's
  • Ad hoc duties where required to ensure the MD’s days are efficiently and effectively managed

Desired Skills & Experience

 To be successful the following criteria is essential: 
  • Have a minimum of 4-6 years experience as a PA to a senior level management
  • Be a team player, adaptable and also be able to work autonomously to make informed decisions in the absence of the MD.
  • Be professional in presentation & be able to take direction
  • Ability to manage multiple projects and keep to deadlines
  • Respond and relate well to people in senior management roles
  • Ability to maintain confidentiality of all corporate and personal information
  • High level of MS Office skills
  • Build effective relationships with management and their direct reports
